We’re Hiring: Public Relations Operations Manager

Boston-based Public Relations agency known for its innovative approach to PR and marketing communications and prestigious consumer, B2B, sports & entertainment, and technology clientele is hiring a Public Relations Operations Manager.

A dynamic role, for an entrepreneurial minded, innovative, solutions orientated, analytical individual, to assess, question, and improve Elevate’s key business functions: Operations, Human Resources, Office Management, New Business Development, IT and Supplier Management, in order to drive competitive advantage for the agency.

Reporting directly to the CEO, this position will play an instrumental role in the continued success of the agency, both internally as a team and externally in Elevate’s image, and will work closely with agency’s senior leadership to enhance the results generated for its distinguished clients and staff. 5+ years of operations with minimum of 2 years PR agency experience required.

The essential duties and responsibilities include, but are not limited to, the following:

  • Increase effectiveness and efficiency of operational support functions: HR, IT, Administration, Business Development and Supplier Management, through improvements to each function as well as coordination and communication between functions
  • Manage team concerning operations and administration. Ensuring fulfillment of duties to full capacity, in line with Agency policy and procedure, and addressing any issues that might arise
  • Drive initiatives within management team as well as Agency wide, which will contribute to long-term operational excellence
  • Work closely with Agency Partners and business development team in organizing and directing new business outreach efforts

 The Ideal Candidate

  • 5+ years of operations experience with a minimum of 2 years PR agency experience required
  • Bachelor’s degree required, preferably in related field
  • The candidate must be flexible, resourceful, enthusiastic and willing to jump into new areas of enquiry as the Agency expands, have strong attention to detail, good interpersonal and management skills
  • Ability to work independently and multitask in a fast-paced, team-oriented environment and actively promote and engage both team members and suppliers in clear and effective communication
  • Ability to work with both macro and micro perspectives to ensure quality in both large and small tasks
  • Ability to define problems, draw valid conclusions and make decisions.
  • Combination of analytical, strategic, creative thinking; ability to jump from the analytical side of PR to the creative side
  • Strong verbal and written communication skills
  • Strong computer skills, including proficiency with Microsoft Word, Excel, PowerPoint, Outlook, cloud providers (Dropbox), and web browsers

Account Operations

  • Assist in developing and implementing account management procedures, including tracking of staff hours & utilizations
  • Facilitate weekly staff & senior team meetings including scheduling, agenda setting, deliverables tracking and communications management
  • Assist in developing system for and managing quarterly account reviews
  • Assist in developing system for updating and maintaining agency client case studies
  • Develop and system for managing agency-client contracts, including maintaining LOU template and updating as needed, drafting LOU’s for new engagements, managing renewal timelines
  • Develop agency standard Scope of Work templates; enhance development system to increase accuracy in project and work hours estimates

 Human Resources

  • Strategize, motivate, coach and direct staff in performing their HR, Business Development and Operational responsibilities
  • Involvement and management of all stages of the recruitment and selection process of employees including: job description creation, screening and scheduling appointments, conducting interviews, employee testing, extending employment offers and communicating with candidates and maintaining resume database
  • Managing, monitoring and validation of compensation, benefits and PTO
  • Maintain HR and administrative files including employee personnel files
  • Manage process and ensure staff adherence of employee reviews
  • Direct new employee orientation and onboarding/exiting
  • Manage intern program (placement of listings, scheduling, orientation)
  • Manage benefits program and providers
  • Enhance and maintain employee resource guide/handbook and ensure compliance as needed; maintain agency HR policies and procedures
  • Manage agency culture budgets including Free Friday Lunches and Happy Hours
  • Manage ordering of food for client and agency meetings with restaurants and caterers
  • Coordinate staff Birthday celebrations
  • Assist in developing and direct planning and coordination and planning of all agency outings

Business Development

  • Manage agency efforts to research, identify, target and secure new clients
  • Maintain agency new business tracking sheets
  • Manage activities of new business team including ownership of budget, establishing and maintaining meeting schedule, coordinating team assignments and consistently communicating and tracking team deliverables
  • Develop and maintain agency library of new business materials including capabilities decks, presentations and proposals
  • Create and manage system for consistent updating of agency case studies
  • Coordinate new client pitches, business meetings and presentations

 Office Operations

  • Manage front desk and maintain a friendly and professional environment by greeting and assisting visiting colleagues, clients and vendors
  • Develop and maintain budget for office improvements including lay-out, work-space and environment
  • Maintain office equipment
  • Develop and maintain agency influencer and client database to be utilized for Client Relationship Management initiatives and agency marketing functions
  • Assist with administrative tasks such as writing business letters and proofreading
  • Serve as primary contact for building management, cleaning services and needs
  • Book travel for senior team and managing preferred travel vendors across agency account teams

 IT

  • Manage outsourced IT vendor to ensure execution of contracted deliverables
  • Manage Dropbox files, including file-mapping standards, permissions, organizing and file naming conventions
  • Manage budget for computer software, systems and direct vendor relationships. Develop system for employee computer hardware tracking and maintenance

 Procurement & Vendor Management

  • Assist in developing and implementing agency procurement procedures (Research and identification, selection, negotiations, contracts, renewals, etc.)
  • Manage agency vendor and service provider relationships
